# Stage 2: How should a club audit overlapping scouting subscriptions?

**Compare recruitment tasks and entitlements, not product names.** Build the Scouting Subscription Overlap Audit around what staff actually need to do.

For each subscription, record:

| Inventory field | What to capture |
|---|---|
| Commercial scope | Contracting entity, modules, seats, term, notice date and quoted renewal scope |
| Evidence | Competitions, seasons, full matches, clips, event fields, physical or tracking-derived information |
| Access | Platform, API, exports, viewing/download allowances and authorised users |
| Dependencies | Upstream data, video subscriptions, connectors and internal scripts |
| Actual use | Tasks completed, evidence consumed and unresolved problems |
| Cancellation exposure | Essential capability, retained reports or historical access that could be lost |

Ask an existing user to complete the priority task using the current stack. Record the evidence produced, verification effort, missing information and unresolved questions. Give the incumbent a fair opportunity to demonstrate an already-licensed feature before buying an equivalent elsewhere.

Packaging deserves particular attention. Hudl says Wyscout video access is integrated into its Statsbomb analysis platform **when purchased as part of the package**. Wyscout’s public data offering also includes a Physical Data Pack. Therefore, do not assume that two subscriptions are independent purchases, or that a product’s familiar category describes everything now available within it. ### Baseline checklist

- [ ] Separate “already included” from “available as an additional purchase”.
- [ ] Ask who originally collected or supplied the evidence.
- [ ] Distinguish an additional observation from a new interpretation of existing data.
- [ ] Identify unique capabilities before considering cancellation.
- [ ] Measure staff effort through a completed task, not recollection alone.
- [ ] Obtain revised bundle pricing if one component is removed.

**Exit condition:** a task-by-task capability map identifies a specific gap, or establishes that no additional supplier trial is needed.
