When does bringing in a specialist save time or money?

The strongest intervention point is before an irreversible commitment, when a specific unanswered question exceeds the club’s available expertise or evaluation capacity. Do not hire a broad adviser merely to collect demonstrations.

Trigger Specialist to consider Bounded deliverable
Renewal approaches but essential overlap is unresolved Independent procurement researcher Entitlement map, must-retain dependencies and retain/add/replace recommendation
Women’s coverage claims cannot be reconciled with required matches Women’s-football coverage specialist Competition-season gap map and inspected exception register
Identity errors or incompatible definitions block a feed Football data engineer Reproducible sample import, mapping exceptions and implementation estimate
Role-fit or league-translation claims drive the decision Recruitment modeller or domain analyst Assumption review, sensitivity tests and limitations on the target population
Sharing, external AI or post-termination rights remain ambiguous Qualified technology/data counsel Clause-specific advice and proposed contractual wording
A new territory requires evidence outside the databases Regional scouting specialist Scoped observations, provenance, conflicts and explicitly unanswered questions

Ask:

  1. Which decision could this work change before the deadline?
  2. What internal work will it replace, and what club input will still be required?
  3. What spend is genuinely avoidable—not merely already committed?
  4. What is the fixed deliverable, fee cap and stopping point?
  5. Would the work still be useful if the recommendation were “retain the current stack”?

A specialist may reduce repeated evaluation work or identify an avoidable purchase, but neither saving is guaranteed. If the deadline has passed or no purchasing option can change, narrow the engagement to future renewal preparation rather than presenting it as immediate savings.

Require disclosure of supplier payments and referral relationships. Do not make the adviser’s fee depend on recommending a particular platform. Club staff should retain the evidence workbook and be able to challenge the conclusion.
